So You Want To Be The Scribe

According to our Bylaws:

5.3.8. Scribe is a member of the Council has one vote.
5.3.8.1. The Scribe is the secretary for legal purposes. The Scribe records all official Council meetings, posts meeting minutes on the website and social media, and acts as the Historian/Lore Keeper for Awaken the North. If the Scribe is unavailable for an official meeting, the Council Chairperson will designate another council member as Scribe for that particular meeting. The Scribe is active on public facing venues, such as social media, and is open to the members.
As the Scribe, your job is secretarial in nature. You will support the Council and keep records, as well as record the History and Lore of AtN.

Position Specific Duties:

You will be active on the socials.

Much of what we do at Awaken the North is done via the interwebs on our various social platforms. You will need to make sure you are active on all of them. As the Scribe, it is required that you make at least one post a week on any given social media outlet. The post must be Heathen or AtN related. Reminders of upcoming Emissary events are great things to post about. The scribe is also required to make at LEAST one history Blog entry per month.

The Scribe is active in the social media realms. You (and your team) should keep the social media spaces engaged by posting relative content and pushing for discussions to take place.

As the Chancellor, it is required that you personally make at least one post a week on any given social. The post must be Heathen or AtN related, and focus on Scribe content. In addition to the socials, it is required that you post a new blog post on the website as well. Instructions are downloadable below on how to accomplish this. Reminders of upcoming Awaken the North organizational events and Scribe specific events are great things to post about.

You will be responsible for updating History and Lore including the website blog posts and important events.

Recording important dates and sharing news regarding AtN is the job of the Scribe. The website blog includes sections for Council News, Archaeological News and history of Awaken the North. It is also the duty of the Scribe to prepare the agenda for the meetings and make sure all points are met by each Chancellor or their chair, and the President.

You will attend all of the certificate courses to further your knowledge of the Lore and old ways.

As a Chancellor of Awaken the North, the certificate training courses are free. To have a better grasp on our ways, thoughts, beliefs, and cultural identities, it is important that you attend the courses. members will randomly approach you with questions. having the base of knowledge to answer these questions provides a better over-all experience for both you and the member. Being a Heathen organization, it is imperative that we know our ways.

You will attend all of the position pertinent, emissary, and moderator trainings and refresh yourself on them as needed.

As a Chancellor of Awaken the North, the position specific training courses are free. To have a better grasp on how the organization works, and the day to day functions of the public facing roles are, it is important that you attend the courses. Members will randomly approach you with questions. having the base of knowledge to answer these questions provides a better over-all experience for both you and the member. Being a Chancellor of Awaken the North, and as such a public figure to our members, it is imperative that we know how things work here.

You will attend all monthly meetings and record, edit and post meetings to the website.

The monthly meetings are recorded and edited for language and length, and posted on the website at https://awakenthenorth.org/council-meetings/. In the event you can not make a particular meeting, arrangements should be made with the President to insure the meeting is still recorded. Your absence will also affect the agenda and should be supported by another Chancellor or the President. If you are not able to attend, please be sure your Chair is prepared to stand in for you, with all of the pertinent information needed to give a proper report.

You will attend and notate any impromptu meetings and dealings with outside entities.

From time to time a Chancellor or the President may have a meeting with another organization, or an impromptu meeting may arise for a vote, or any other reason. It is the duty of the Scribe to attend, whenever possible, and make notes regarding this meeting. These notes then go to whomever NEEDS the information and, in some cases, may be added to the history logs.

You will continue research for the online library and the #Odins-Library Discord Channel

As Scribe finding PDF books and academic papers to continue the growth of our library is a very important job. You will Preview them for complete content and add them to the Website. Entries may be previewed by either the CoRS or the President. These submissions will include an active hyperlink for the author.

You will support all other chancellorships as needed.

Along with taking the projects assigned to the Scribe, you will give the other chancellors support in their projects as needed, as you are able. This will present in different ways as the situation changes. This means that when you are able and needed you will make yourself available to the other Chancellors.

You will do periodic reviews of the Chancellorships Calendar and Map updates.

The calendar of events is how we keep the public in the know on what we are doing. It is imperative that any new events from each Chancellor are listed on the calendar. This is done through Google Calendar.

Emissaries, members, kindreds, and merchants are listed on Maps by the respective Chancellors. This is done through Google Maps

Both will need periodic review to be sure it is up to date, if not it is the responsibility of the Scribe to get with the Chancellor to review updates.

You will review all reports and file them in the Scribe files accordingly.

There are pre and post event reports, Emissary reports, Monthly reports from each Chancellorship as well as others. It is the duty of the Scribe to review the information, get in touch with anyone necessary and file the reports in the Scribe email accordingly. Currently files are divided by subject in the email itself.

You will be required to participate in ongoing video blog projects by making at least one video per theme as it sets focus of the organization.

To set the focus of the organization and assist in the progress of our member’s growth and knowledge as Heathens, there will be a theme selected for various topics. You will be required to participate in this project. This will mean at least one video per theme. This will likely be a short TikTok style video, but may also take the form of longer YouTube videos, written articles, or sharing of specific informational posts across the socials. Social Media Presence is Vital to any organization’s growth in Today’s world. Participating in the TikTok/YouTube projects is a requirement of every person on the Council, Chancellors, and Chairs. You are required to create at LEAST one video per topic. You do not need to show your face, but the video must be pertinent to the current subject. For example, the 2022 projects included, but are not limited to the Hávamál readings and the How do You Heathen posts. More videos are always appreciated, within reason. Your participation in these projects help AtN be both seen and heard.

You will make sure your monthly reports are filed to the President each month in a timely manner.

Each month, prior to the scheduled Council meeting, you will need to fill out the relevant Pre-Meeting Form online. This is to prepare you for the questions asked and information needed during your report in the meeting. It can be found here: https://atn.churchcenter.com/people/forms/373920

You will review and familiarize yourself with the ByLaws and Code of Conduct of Awaken the North

In order to know what we are about, standard operating procedures, and the proper way to conduct yourself in the day to day activities of Awaken the north, a working knowledge of the ByLaws and CoC’s is required. As stated earlier, the position of the Scribe is an ever-evolving one. This list is not the end-all-be-all of your duties. This page will be updated as the requirements for your position evolve. It is important that you stay flexible and fluid in this role, understanding that it is always subject to change.
